    LifeArc Translational Science Summit: terms and conditions

    1. Introduction and purpose

    1.1 LifeArc (“we”, “our”, “us”) is a charity registered with the Charity Commission for England and Wales under registration number 1015243 and a charity registered in Scotland with the Office of the Scottish Charity Regulator under registration number SC037861. LifeArc is also a company limited by guarantee, with company 2698321, incorporated under the laws of England and Wales at 7th Floor, Lynton House 7-12 Tavistock Square, London WC1H 9LT.

    1.2 These are the terms and conditions (“Terms”) on which we offer registration and admission to the LifeArc Translational Science Summit, which will be referred to hereinafter as ‘The Event’. The Event will take place on 12 May 2026 at the Business Design Centre, 52 Upper Street, London, N1 0QH (“the Venue”).

    1.3 By registering for and attending the Event, Attendees (“you”) acknowledge that you have read, understood, and agree to comply with these Terms.  


    2. Contact

    2.2 If it becomes necessary for LifeArc to contact you, we will do so by writing to you at the email address provided in your registration.


    3. Registration and attendance

    3.1 Your registration will be considered accepted once we send you an email confirming acceptance of your application.

    3.2 If you no longer wish to attend the Event, please cancel your registration or let us know as soon as possible via email at events@lifearc.org so that your ticket may be made available to someone else.  

    3.3 LifeArc reserves the right to admit or decline registration, including cancelling registrations for any reason. If we decline or cancel your registration, we will inform you of this in writing. This might be because of unexpected limits on our resources, because you do not meet our eligibility criteria, because we have identified an error or any misleading information in your registration form, or because the Event has reached its capacity. 

    3.4 It is your responsibility to correctly register for the Event and notify us in advance of any special requests. You acknowledge that you are responsible for the selection of the appropriate registration (including notifying us in advance of any dietary requirements or accessibility needs). If you need to update or change your registration details, please contact us at events@lifearc.org. Please provide us with as much notice as possible of any special requests and we will use reasonable efforts to accommodate these requests within reason and resources available.  You will be informed if we are unable to accommodate your request.    


    4. Event changes and cancellation

    4.1 LifeArc may amend these Terms at any time. In the event that we need to make significant changes to the Event or to these terms:

    4.1.1 we will notify you in writing; and 

    4.1.2  you may then contact us to request that we cancel your registration or transfer your registration to another individual (for example, if you are no longer able to attend but would like to nominate a colleague to take your place). 

    4.2 LifeArc shall not be liable for any failure to perform its obligations under these Terms and Conditions if such failure is caused by events beyond its reasonable control, including, but not limited to, acts of God, natural disasters, pandemics, government restrictions, strikes, technical failures, or other unforeseeable circumstances ("Force Majeure Event"). In the event of a Force Majeure Event, LifeArc will make reasonable efforts to reschedule the conference or provide alternative arrangements.


    5. Code of conduct

    5.1 Removal from Events. We and the Venue reserve the right to refuse to allow you to participate, or continue to participate, in the Event if you:  

    5.1.1 give cause for concern that your continued participation may cause offence or injury to yourself or other participants; 

    5.1.2 do not arrive in time for the Event;

    5.1.3 are deemed by us or the Venue (acting reasonably) to behave inappropriately; or 

    5.1.4 are attending the Event for reasons outside the purpose and benefit we have intended for the Event audience. Reasons may include but are not limited to sales or marketing activity, recruitment, venue investigation and malicious intent. 

    5.1.5 engage in any activity which may bring LifeArc and/or the Venue’s name into disrepute.

    5.2 You agree to comply with all applicable statutory requirements, regulations relating to health and safety or environmental protection and all health and safety and emergency procedures notified to LifeArc by the Venue.

    5.3 Attendees shall only be permitted to access and use such areas as approved by the Venue for the purposes of the Event.

    5.4 In attending the Event you agree to be subject to the Venue’s Health and Safety and security procedures shared with you by us and/or by the venue.


    6. Liability

    6.1 We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors; for fraud or fraudulent misrepresentation; and for breach of your legal rights in relation to the Event. 

    6.2 In attending the Event you agree to be subject to the venue’s Health and Safety and security procedures.

    6.3 We are not liable for any losses (whether direct and indirect) or expenses you may incur in connection with this Event, including any travel expenses, loss of profit, loss of business, business interruption, or loss of business opportunity. 


    7. Confidentiality and privacy

    7.1 How we may use your personal information. The registration information we collect will be used by the LifeArc event team for the purposes of facilitating the Event. For attendees that have consented to marketing, we will use your data to send occasional information relating to your interests. To the extent that any Personal Data is collected for the purpose of facilitating the Event, the Parties shall each comply with Data Protection Laws, and the data will be stored in accordance with Data Protection Laws.

    7.2 LifeArc respects your privacy and is committed to protecting your personal data. For more information, please see our Privacy Policy https://www.lifearc.org/publication/privacy-policy/.  This privacy policy sets out how LifeArc collects, uses and shares the information that you provide us through our website located at www.lifearc.org (our “website”) or through our services.

    7.3 We use Bizzabo as a data processor to collect registration information and to provide the Event website and app. The Bizzabo app may allow you to view the agenda and plan your day. By signing into Community within the app, some of your registration details will be visible to other community members.

    8. Photography and conference content

    8.1 Photographs/videos taken during the Event may be used for marketing collateral and websites of LifeArc and the official Event photographer. By attending the Event you agree to feature in any video or photography taken at the Event. If you do not wish to appear in any photos or video footage, please let us know by emailing events@lifearc.org.  We will take all possible steps to ensure you're not in any photos or video, but we cannot guarantee this. 

    8.2 Unless permitted by the presenter/author, you must not take photos or videos of any visual material presented at the Event. 

    8.3 Event materials. We may distribute materials relating to the Event during or around the time of the Event.


    9. Dispute resolution

    9.1 In the event of any dispute arising from this these Terms, the parties involved will endeavour to settle such matters amicably in good faith. Should the parties still be unable to reach agreement between themselves within a period of 30 working days, the matter shall then be referred to the Model Mediation Procedure promoted by the Centre for Effective Dispute Resolution using Alternative Dispute Resolution. Any resolution reached by the parties in this way shall be final and binding upon the parties. Nothing in this clause shall prevent or impede a party from being free to apply for interim relief in a court of competent jurisdiction seeking to require the other Party to cease a particular activity in the event of a material or unremedied breach.


    10. Governing law and jurisdiction

    10.1 The validity, construction and performance of this agreement, and any contractual and non-contractual claims arising hereunder, shall be governed by English law and shall be subject to the exclusive jurisdiction of the English courts.
